Human Resources Coordinator, Edmonton

TPD's client, a well established law firm based in Edmonton, is looking for a HR Coordinator to cover a mat leave position. This is a long-term, 22 to 24 hours per week temporary position, for 12-13 months. If you have prior experience in the below areas, and are comfortable with a flexible 3-4 day/week schedule, this could be a fantastic opportunity for you.

Working with the Manager of Administration, as the HR Coordinator, you will provide assistance in a few different areas:

Benefits administration: 30-50% of your time will be spent in this area

  • The client works with two benefit providers. The contracts are quite broad. The internal staff is comprised of different levels of lawyers, and different levels of administrative staff, and have 5-6 benefits classes. You will assist in administering, maintaining updating employee benefits
  • Dealing with STD claims, disability management cases if/when they arise
  • Meeting with provider representatives once a year for renewals, rate changes or trends, and if you / an employee has any questions with regards to the policies

 

Sick days and vacation tracking:

  • The system used is PurelyHR, and all tracking is done electronically
  • You will maintain the system, review requests, schedule coverage with ‘floaters’

 

Recruitment support: 

  • Assist with pre-screening applicants, and coordinating post-screening process - scheduling interviews, etc. 
  • The client works with a few staffing agencies, as much of it is active recruiting
  • There isn't much turn over, therefore there isn't a lot of hiring done through the year. The client brings in practicum students (5 week duration), who you will help on-board
  • On-boarding involves preparing offer letters using templates, assigning and setting up workstations, day 1 orientation and on-boarding paperwork

 

Annual Reviews:

  • The Manager of Administration will take care of management reviews. The HR Coordinator will support with scheduling them in
  • There are typically 2-4 reviews per month. You will keep track of upcoming reviews and schedule them in for yourself or the Admin Manager, depending on which employee it is for
  • There is a master sheet that you will have access to, that you will review to keep a track of the reviews

 

Liaise with Payroll:

  • Setting up new profiles in the client's in-house system
  • Make note of exceptions - regular hours, OT hours, any discrepancies
  • Keep track of annual salary changes, administer Health and Wellness program submissions
  • The staff are paid semi-monthly, therefore being mindful of cutoff dates for hours to be submitted
