Administrative Assistant (12 Month Contract)

We are currently seeking to hire Administrative Assistant for a 12 month contract, for a client located in Richmond.  The successful candidate will provide general administrative support with a focus on inventory management functions.

Key responsibilities include:

  • Perform day to day administrative functions to support the Team
  • Assist Directors with planning, including calendar management, coordinating meeting schedules, and travel support
  • Provide Finance support mainly in coding expenses for invoices, raising purchase orders, reconciling Corporate Visa transactions
  • Resolve issues related to purchase orders and invoice processing discrepancies with vendors and internal departments (Finance & Supply Management)
  • Manage inventory levels in order to meet sales delivery timelines and Service Level Agreements
  • Assist with the warranty, replacement part process for customers worldwide, includes parts tracking and preparing shipping/customs documentation
  • Perform regular inventory counts and investigating discrepancies by reconciling issuance and receipt
  • Transactions
  • Assist in logistical coordination of trade shows and conferences.
  • Arranging department meetings and coordinating schedules
  • Manager internal mail and filing

Key qualifications include:

  • A motivated and organized self-starter with at least three years of experience providing administrative support 
  • Critical thinking and analytical skills
  • A team player with exceptional interpersonal and communication skills
  • Knowledge of basic accounting principles and strong analytical skills 
  • Demonstrated ability to organize and schedule people and tasks
  • Proven relationship skills with the ability to work with key interdepartmental stakeholders
  • Previous experience with inventory management would be an asset
  • Strong multitasking and organizational skills with the ability to meet very tight deadlines
  • Professionalism, diplomacy and good judgment in dealing with confidential and sensitive issues 
  • Proficiency using MS Office (Word, Excel, Outlook, Access and PowerPoint)
